App Press LLC, doing business as Playlister ("Company," "we," "us," or "our"), operates the Grail media asset management platform ("Service") at grailmedia.app. This Privacy Policy describes how we collect, use, store, and share information when you use our Service.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, and organization name. If you sign in through Microsoft or Google single sign-on (SSO), we receive your name, email address, and profile information from that identity provider. We do not receive or store your SSO password.

Media Index Data

Grail creates a searchable index of media files stored on your local network-attached storage (NAS). This index includes file names, file paths, file types, file sizes, timestamps, and content-derived metadata such as transcriptions, visual descriptions, and extracted text. Your actual media files remain on your local storage and are not uploaded to our servers.

Preview Data

Grail generates thumbnail images and low-resolution previews of your media files to enable browsing and search. These previews are stored in our cloud infrastructure to provide remote access.

Usage Data

We collect information about how you interact with the Service, including pages viewed, searches performed, features used, timestamps, browser type, operating system, IP address, and device identifiers. We use PostHog for product analytics.

Payment Information

If you subscribe to a paid plan, our payment processor (Stripe) collects and processes your payment information. We do not directly store credit card numbers or bank account details on our servers.

Support Communications

When you contact us for support, we collect the content of your messages, your email address, and any attachments you provide.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Create and manage your account
  • Index your media files and generate searchable metadata
  • Generate previews and thumbnails for remote browsing
  • Process payments and send billing-related communications
  • Respond to your support requests
  • Send service-related notices and updates
  • Monitor and analyze usage trends to improve the Service
  • Detect, prevent, and address technical issues and security threats
  • Comply with legal obligations

3. YouTube API Services

The Service may use YouTube API Services to enable integration with YouTube content. By using features that access YouTube data, you are also agreeing to the YouTube Terms of Service at https://www.youtube.com/t/terms.

Our use of information received from YouTube APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only access YouTube data that you explicitly authorize
  • We use YouTube data solely to provide and improve the Service features you request
  • We do not sell YouTube data to third parties
  • We do not use YouTube data for advertising purposes unrelated to the Service

You can revoke our access to your YouTube data at any time through the Google security settings page at https://security.google.com/settings/security/permissions.

4. How We Share Your Information

We do not sell your personal information. We may share your information in the following circumstances:

Service Providers

We share information with third-party service providers who perform services on our behalf, including cloud hosting (for search index and preview storage), payment processing (Stripe), product analytics (PostHog), and customer support tools. These providers are contractually obligated to use your information only to provide services to us.

Identity Providers

When you use SSO, we exchange limited authentication data with Microsoft or Google as needed to verify your identity.

Legal Requirements

We may disclose your information if required by law, regulation, legal process, or governmental request, or if we believe disclosure is necessary to protect the rights, property, or safety of the Company, our users, or the public.

Business Transfers

If the Company is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information.

5. Data Storage and Security

Your media files remain on your local NAS and are not uploaded to our servers. Your search index, account information, and media previews are stored on cloud infrastructure in the United States.

We implement reasonable administrative, technical, and physical safeguards to protect your information, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your account information and search index data for as long as your account is active. Upon account cancellation or termination, we will delete your search index, preview data, and account information within 30 days. Some information may be retained longer if required by law or for legitimate business purposes such as resolving disputes or enforcing our agreements.

Usage data and analytics may be retained in aggregated, anonymized form indefinitely.

7. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information, including:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate personal information.
  • Deletion: Request deletion of your personal information, subject to certain exceptions.
  • Portability: Request a copy of your data in a portable format.
  • Opt-Out: Opt out of certain data processing activities.

To exercise any of these rights, contact us at support@playlister.app. We will respond to your request within 30 days.

You can also remove the Grail agent from your network at any time to stop all local indexing. Your existing cloud index and previews will be deleted upon account cancellation.

8. Cookies and Tracking Technologies

We use cookies and similar technologies to maintain your session, remember your preferences, and collect usage data. Essential cookies are required for the Service to function. Analytics cookies help us understand how users interact with the Service.

You can control cookie settings through your browser. Disabling essential cookies may prevent you from using certain features of the Service.

9. Children's Privacy

The Service is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take steps to delete that information promptly. If you believe a child under 13 has provided us with personal information, please contact us at support@playlister.app.

10. California Privacy Rights

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale of personal information. We do not sell personal information.

11. International Data Transfers

If you access the Service from outside the United States, your information may be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Service or by sending you an email. Your continued use of the Service after changes are posted constitutes your acceptance of the revised policy.
